Who is responsible?

FIRSTLANE AUTOMATIC provides driving tuition with Simon. The data controller is Simon Hull, trading as FIRSTLANE AUTOMATIC. Postal contact: Park Drive, Lewes, BN7 2FW.

Information you give us

When you enquire through our website contact form, by email or by phone, you may provide your name, contact details, collection address or postcode, previous driving experience, goals and preferred lesson times. If you proceed, booking and progress information is used to arrange and provide tuition.

Please only share information relevant to your enquiry. Do not send identity documents, card details or medical records in an initial email. If you need a learning adjustment, discuss the arrangements with Simon first.

Why information is used

  • Enquiries and tuition: to answer booking requests, assess your starting point and provide agreed lessons. The basis is taking steps at your request before a contract, or performing the tuition contract.
  • General correspondence and security: legitimate interests in answering questions, resolving concerns and protecting the service, balanced against your rights.
  • Required records: meeting applicable legal obligations where records must be retained or disclosed.
  • Optional analytics: your consent to analytics cookies, changeable through Cookie Preferences.

If you choose not to provide information necessary for a booking, we may be unable to arrange that lesson.

Website visits

Squarespace hosts this website and processes technical details such as IP address, browser and device information, pages visited and visit times to deliver and protect its services. With cookie permission, analytics also help us understand visits. Squarespace may use technical visit information for its own purposes, described in its Privacy Policy. Our Cookie Policy explains your choices.

Who receives information?

Simon handles tuition enquiries. Squarespace provides the website and Yahoo provides the published email service. These providers process information needed to operate their services. Relevant information may also be shared with professional advisers or public authorities where necessary for advice or legal obligations.

BACS payments are processed by the banks involved. They handle payment details under their own privacy notices.

How learner records are stored

Learner contact details, booking correspondence and lesson notes are stored on Simon’s password-protected phone and in his password-protected business email account. Simon is the only person within FIRSTLANE AUTOMATIC who has access to these records. Website, email and banking providers process information as needed to provide their services.

Overseas processing

Website and email providers may process information outside the UK. Squarespace explains its transfer arrangements in its Privacy Policy and Data Processing Addendum, including contractual safeguards where required. Contact Simon for details of safeguards applicable to your records.

Retention

  • Enquiries that do not lead to a booking: deleted within 12 months of the last contact.
  • Learner, lesson and progress records: deleted within 3 years after the last lesson.
  • Payment and tax records: retained for the applicable legal period. For sole-trader Self Assessment records, this is normally at least 5 years after the 31 January submission deadline for the relevant tax year.

Relevant records may be retained longer where necessary for an unresolved complaint, legal claim, HMRC enquiry or another legal obligation. Only information needed for that purpose is retained, and it is deleted when no longer required. Records are deleted from Simon’s phone and email account and, where held, website enquiry storage. These periods are FIRSTLANE’s retention policy; they are not a guarantee that every service provider uses the same retention period for information it controls independently.

Your rights

Depending on the circumstances, you can ask to access or correct information, request deletion or restriction, object to processing based on legitimate interests, or request portable data. Where processing relies on consent, you can withdraw it without affecting earlier lawful processing. Exceptions may apply.

Contact Simon with requests or concerns. You can also complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint.

This notice will be updated when the way information is handled changes. The date above identifies the latest version.
